Event Logistics:
As part of planning an event, Jurgensen & Co. is responsible for providing turn-key service. Hotels, events, and transportation must be arranged months, and often times, a year in advance to secure a desirable location and preferred vendors. We also value and maintain our relationships with hotels and vendors in high demand markets where other teams/agencies are often unable to secure assets.
• Jurgensen & Co. annually manages over 1,100 room nights in over 30 different hotel markets. We research options to be able to present several choices and estimates to our clients for their event. We conduct site visits, if necessary, and rank the options based on: cost, proximity of hotel to event, hotel amenities and business services. Once we contract the rooms on behalf of the client, we negotiate the lowest room rate possible. Jurgensen & Co. acts as a liaison between customer and the hotel by managing all hotel requests, maintaining a rooming list, and tracking any changes or special requests. As the event approaches, we submit all pertinent travel information and confirmation numbers to the customer/client before their trip.
• Jurgensen & Co can arrange a special event for any group size, from a small intimate dinner at a 4-star restaurant that is impossible to get into – to a large themed dinner for 400+ guests with music and entertainment. We handle the preparations from start to finish for customer events or dinners including researching and choosing a location, menu selection, booking entertainment, choosing a theme or decor, ordering floral arrangements, establishing seating, preparing place cards, selecting gifts, and arranging billing for all items.
• We want to make sure your guests arrive quickly and safely to their final destination. We can handle all transportation involved including booking commercial airfare or private chartered jet, ground transfers, and all event transportation required whether it be by bus, limo, town car, or even helicopter. We have relationships with preferred transportation vendors, and have numerous contacts with law enforcement agencies in event markets, if police escorts are required.
• From start to finish, we will customize the event for your guests. We create and provide a personalized itinerary for guests with all of their individual arrangements clearly outlined. We will pre-check hotel rooms so guests can easily check-in without issues. Upon request, we can place a room amenity or apparel in each guest’s room prior to their arrival. We arrange special customer events such as golf, spa appointments, tours of the area, shopping, etc. We will plan and execute all customer dinners and events, provide all transportation required, and even act as a concierge service for guests if individual reservations are required. We constantly communicate with the guests regarding any changes or questions so the client is not inundated with correspondence. Jurgensen & Co. will be there on-site to make sure every guest need is met. We streamline the process for your guests, and make the event a success from start to finish.
